Open Poster Abstract Deadlines and Due Dates (No Deadline Extensions):
Obtain OP Abstract Reference Number Deadline: Tuesday, May 8, 2012
Uploaded OP Abstract submitted to the Hilton Head website: Tuesday, May 8, 2012
Notification (via email) to Authors: Friday, May 18, 2012

All dates end 23:59 Honolulu, Hawaii, USA time.

The purpose of the Open Poster Session is to further encourage information dissemination and discussion by sharing of: (a) preliminary research that will interest the participants but could not be submitted to the Workshop earlier; (b) research that has been previously presented, but in a venue generally not attended by the Workshop participants; or (c) research, education and/or commercialization initiatives and ideas that are valuable to the Workshop participants but are not included in the formal program. Open posters that incorporate infomercial and/or advertising will be excluded. Open Posters are scrutinized for appropriateness based on the above listed criteria and will be reviewed by the Technical Chair and the General Chair.

Submissions of Open Posters will be different than past Workshops as we are seeking submission of the PDF version of the ACTUAL poster that you intend to display at the Workshop. Although the poster dimensions listed below are quite large, we ask that you submit the scaled down version in PDF so it is visible on screen for review as well as distribution to all attendees.

Although the accepted Open Posters are not published in the technical digest, the final version of your submitted poster on or before May 8 will be distributed as an electronic handout via email shortly before the Workshop.

Please keep in mind the following:
  1. The final dimensions of your poster should be no larger than 40 inches high by 30 inches wide.
  2. Your poster MUST be in portrait style. NOT landscape.
  3. Please do NOT include your Open Poster Reference Number on your poster.
  4. The title of your paper should appear at the top of your poster in CAPITAL letters. This lettering should be at least 1 inch high. Below the title, place the authors' names and affiliations. It is important that you remember that the audience viewing your poster and listening to your presentation will be 6 feet from your poster. Please double-check your poster from 6 feet to ensure its visibility.
  5. Use text sparingly. Use pictures, cartoons, and figures rather than text wherever possible. Bright colors will greatly enhance the attention of the viewer.
  6. The flow of your poster should be from the top left to the bottom right. Use arrows to lead the viewer through the poster.
  7. Make your poster as self-explanatory as possible, so that you will have time for in-depth technical discussions.
  8. At the Workshop, prior to the Open Poster Session, you will obtain a poster foam core backing to adhere your poster. Posters will be placed on easels that will also be supplied to you.
For those of you in need of a template, please search the Internet with keywords that include: Academic poster template 40 x 30.

If you have any problems with this process or have any special circumstances, please do not hesitate to contact Sara Stearns or Katharine Cline at 1-619-232-9499 or info@hh2012.org.

Please remember the deadline to receive your reference number and upload your poster in PDF format is Tuesday, May 8, 2012. Please note that: (a) authors of accepted Open Posters will be expected to participate in the Open Poster Session on Wednesday evening, June 6, 2012; and (b) Open Posters will not be included in the Hilton Head 2012 Technical Digest.

The deadline for submitting your Open Poster is Tuesday, May 8, 2012 at 23:59 Honolulu, Hawaii time.
